How to request an orthopaedic observership
A useful request is specific about why that host is relevant, what you hope to observe and when you are available. It also makes clear that you understand the limits of an observational visit.
Educational guidance, not legal, immigration, licensing or admissions advice.Choose a genuine fit
Review the surgeon, unit and case mix using official sources. Identify one or two learning objectives that the host can realistically support.
Write a short first message
Introduce your current role, training level, specific interest, preferred dates and requested duration. Attach a concise CV and ask for the correct institutional process.
Acknowledge boundaries
State that you understand the visit is observational unless the institution confirms otherwise. Ask about approval, confidentiality, health screening, insurance and fees.
Follow up professionally
One polite follow-up after a reasonable interval is appropriate. If no place is available, ask whether there is a formal programme or a better contact rather than sending repeated messages.
Sources checked and applicant checklist
The request template cannot create clinical privileges. The host and relevant regulator determine what an observer may do.
Before you act
- Ask what the fellow may observe, assist with or perform under supervision.
- Confirm whether registration, hospital credentialing and indemnity are required.
- Compare the promised role, supervision, duration and outputs in writing.
- Treat a programme title or host listing as insufficient evidence of clinical privileges.

Frequently asked questions
Should I contact a surgeon or education office first?
Use the formal programme route when one exists. For an individually arranged visit, a focused faculty enquiry may be reasonable, but institutional approval is still required.
How long should the first email be?
Usually a few short paragraphs are enough: identity, fit, objective, dates and a request for the official process.
